Find below information of particular importance for your first days and weeks as a PhD student in WASP Graduate School.

When you have been accepted as a PhD student in the WASP Graduate School, and the Program Office has been informed, the Program Office will approach your supervisor and ask for information about you. This information is needed to administrate your participation in the WASP Graduate School. As soon as we get your contact information from you and your supervisor, you will receive a welcome letter by email from the Program Office with instructions for the nearest future.
When the Program Office has received the necessary information, a decision letter is sent to you and your supervisor and to others who need this information, such as the administration/economy responsible at your university.

We expect you to use an official email address in WASP. This could be your university email or a company email (for industrial PhDs). Note that you may need to use a personal email address in the beginning in case your university/company account is not yet set up. As soon as you receive your official email, please inform the Program Office.

PhD students enrolled after the 1st of April 2021

All PhD students enrolled in the WASP Graduate School belong to a class. A new class is initiated every year after the Community building summer school in August. The class you belong to is your primary base for networking. Your fellow students will most likely be an important part of your future professional network.

PhD students enrolled before the 1st of April 2021

All PhD students enrolled in the WASP Graduate School before the 1st of April 2021 belong to a batch. There are different batches for AI and AS. Students in the same batch take mandatory WASP courses together and participate in WASP activities together. The batch you belong to is your primary base for networking. Your fellow students will most likely be an important part of your future professional network. Some PhD students who originally belonged to AI Batch 2 have changed curriculum and belong to Class 2021.

You will be invited to the WASP courses as soon as your contact information has been sent to the Program Office. If you have not been invited to a course that is given shortly after your arrival, the reason might be that the registration deadline has passed. If you would like to participate, we can always investigate whether it is possible or not, please contact the Program Office.

Yes, your first WASP event is likely to be either the Community Building Summer School (August)  or the WASP Winter Conference (January). The events give introductions to WASP and the WASP Graduate School and you are expected to participate in both. The Community Building Summer School focus on WASP research and combines summer-school lectures and exercises with community building activities. The Winter Conference Student Introduction gives an overview over the WASP program and an introduction to practicalities. The first day is followed by a two-day internal WASP conference, which will orient you in the WASP research program and related activities. Prepare for three intense days loaded with information and exciting news!

There are more than 400 WASP students spread over the involved universities. To find your local student fellows, ask your supervisor or approach your senior university representative or your local university representative in the PhD Student Council. Or have a look in Slack where each location has a dedicated channel.

You will find a lot of useful information on our intranet. Especially this Handbook is made to help our PhD students.

To keep updated, we recommend that you always read the WASP Community update newsletter (sent occasionally by email).
