The WASP Winter Conference is the largest annual WASP event targeting the internal community. Every year in mid-January, around 650 PhD students, postdocs and researchers gather for three days of activities.
The Winter Conference includes an introduction day for new PhD students and supervisors, and a main conference to which the whole WASP community is invited. In addition, the conference includes a massive poster session, award ceremonies and cluster meetings.
Introduction day for newcomers
The introduction targets all new PhD students. By “new” students we refer to:
- those who have joined WASP after the previous Winter Conference
- those who will join WASP by January 31 of the given year.
At the introduction you will get information about the Graduate School and meet other new PhD students from all WASP-universities in an informal setting.
New supervisors are also welcome to join the kickoff, to learn more about the WASP Graduate School and to get an overview of the different activities.
Conference
The conference gathers the whole WASP community. It is mandatory for the WASP PhD students. PhD students in their second year and above are expected to bring a poster and present their research in one of the poster sessions.
Registration
You will be invited to the Winter Conference by email with a link to the registration form. The invitation is sent out in mid-November. If you do not receive one, please contact the WASP Program Office.
Accommodation and Travel
PhD Students Funded by WASP: All students are individually responsible for booking and paying their accomodation and travel arrangements. Costs will be reimbursed in the quarterly requisition to WASP.
Affiliated Students: Affiliated students are individually responsible for booking and paying their accomodation and travel arrangements. Costs will be covered by the student’s travel budget (not WASP).
Lunch, Coffee and Dinner
WASP handles all costs concerning lunches, coffee, and dinner for both funded and affiliated students. Coffee are automatically included for all registered participants, but you must sign up for lunches and dinners.

Program
The program will be presented on the intranet.
Poster session
All students who are not new to WASP will receive an invitation to present a poster at the poster session. Instructions are sent by email and published on the intranet.
You must have your poster printed and bring it to the conference.
The schedule for the poster sessions, meaning information on which session each poster is manned, is published on the intranet ahead of the conference.
