WARA M&L accepts proposals for research seminars on a continuous basis. If accepted, an organization committee is formed that includes the authors of the proposal and representatives from the arena’s management team. Unless otherwise agreed, the arena covers the cost of participation (venue, invited speakers, food, drinks, etc.) for all participants, and the cost of travel and accommodation for WASP faculty, the organizing committee, and invited speakers.
A seminar proposal is submitted by email to johanna@cs.umu.se . The proposal should be in English, in pdf format, and consist of the parts listed below. There is no page limit. Submitted proposals are continuously evaluated by the WARA management team. If the proposal is within the scope of the arena and fulfills basic quality requirements, the management team books a meeting with the authors to discuss and possibly revise the proposal, and draft a budget. The updated proposal is then shared with the arena’s reference group for input, before a final decision is made.
The arena aims to contribute to social, economic, and environmental sustainability, to the development of urban and non-urban areas alike, and to the welfare of all creatures, big and small. Please consider these factors when assembling your proposal and use your own moral compass.

Part A: Metadata
- Information about the organizers. We appreciate organizational teams that include representatives from both industry and academia, and in general welcome diversity in age, gender, background, etc.

Part B: Proposal Text
The proposal text should describe the following aspects of the proposed seminar:
- Summary of the field(s) of research within which the topic of the proposed seminar lies
- Description of the seminar topics
- Composition of the Organizing Team
- Expected results (outcome) of the seminar
- Ideas about the structure of the seminar
Part C: Invitee List
Each proposal must be accompanied by a tentative list of participants to be invited. The reviewers will take the submitted invitee list into account when evaluating the proposal, especially taking into consideration whether the list is balanced and diverse with regards to gender, geographical, and experience of the intended participants. For GDPR reasons, the arena will not store participant information without explicit consent after the proposal has been evaluated.
To respect the purpose of the WARAs, ask for good representation of WASP faculty, e.g., that at least 50 percent of the participants from academia are WASP researchers.
Part D: Organizers’ CVs
An application should include a curriculum vitae of each organizer, giving a brief overview of their scientific and/or industrial career. The CVs are helpful to understand what competences the applicants bring in, and if there are complementary competences that should be added when assembling an organization committee.
Part E: Seminar Date
Please specify your preferred dates, if any, and block-out dates to avoid overlapping with other conferences and other commitments of the organizers.
Part F: Venue (Optional)
We encourage the applicants to suggest functional and inspirational environments for their workshops. However, vendors procured by one of the participating universities or the Swedish government must always be used if available.
